Secretary
Service Specialists recruiting agency is seeking a Secretary for a well-established law firm in Grenada. This individual will be highly organized and detail-oriented and provide administrative support to our attorneys and ensure the smooth operation of the office. This role requires excellent communication skills, discretion, and the ability to multitask in a fast-paced environment.

- Administrative Support:
- Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
- Schedule and coordinate appointments, meetings, and court dates.
- Maintain and organize files, documents, and records, ensuring confidentiality and compliance with legal standards.
- Prepare and edit legal documents, correspondence, and reports.
- Perform data entry and maintain databases.
- Client Relations:
- Greet clients and visitors, ensuring a welcoming and professional atmosphere.
- Handle client inquiries and direct them to the appropriate attorney or department.
- Manage client intake process and gather necessary documentation.
- Office Management:
- Monitor and order office supplies, ensuring adequate inventory levels.
- Coordinate office maintenance and repairs.
- Assist in the preparation of billing and invoicing.
- Support the implementation and maintenance of office procedures and policies.
- Team Collaboration:
- Provide administrative support to attorneys and other staff as needed.
- Assist with special projects and tasks as assigned.
- Foster a positive and collaborative work environment.
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- Minimum of 2 years of experience in an administrative role, preferably in a legal environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
- Excellent verbal and written communication skills.
- Strong organizational and time management skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Professional demeanor and appearance.
- Ability to work independently and as part of a team.
- Familiarity with legal terminology and procedures is a plus.
